Automatic email filing

We are pleased to announce the launch of our automatic email filing service. This is a system that allows SuperControl clients to automatically attach emails that they send through their normal email program (e.g. Outlook) directly to the customer's booking record.

Keeping track of all the correspondence associated with a booking is an essential part of any management system. SuperControl has various innovative ways of doing this:

Automatic email filing

This is a feature unique to SuperControl. When you send emails to your guests using your normal email program you can copy the email in to a special email address which SuperControl regularly scans. The email is then saved to the relevant booking record. SuperControl clients will find details of how to use this feature in the help system when accessed from the customer's booking record.

Form letters & documents

Clients can set up standard letters which they routinely send to their guests. These can either be generated as MS Word documents or as emails. Guest and booking details can be merged into the letter making correspondence easy and personalised. All correspondence is automatically saved onto the customer's booking record.

In addition to the letters any number of standard documents can be easily attached to emails, or printed and sent to the guest, eg: directions, terms, area information.

If the guest makes an enquiry prior to booking any correspondence can be transferred to the booking record.

Scheduled emails

It is possible to schedule emails to be sent a pre-determined number of days before or after the guest's holiday. This is great for sending last minute information such as a restaurant list before their arrival or a guest feedback survey after their departure.

Booking notes

You can keep track of phone calls or any other notes relating to a booking by using this feature. This is especially useful in busy offices where several people are making changes to bookings.
